The Opportunity
We are looking for a hands-on Accounting Administrator who is comfortable working in a manufacturing environment. Reporting to the accounting leadership team, you will support accurate, timely financial records across accounts payable, accounts receivable, reconciliations, reporting and month-end close. The successful candidate will understand how purchasing, receiving, inventory, production and customer billing connect within an ERP system.
What You Will Do
- Manage day-to-day accounts payable and accounts receivable activities, including invoice entry, verification, coding, payment processing, customer invoicing and collection follow-up.
- Match supplier invoices to purchase orders and receiving records; investigate quantity, pricing, tax and approval discrepancies with purchasing, receiving and other internal teams.
- Reconcile bank accounts, credit cards, customer and vendor subledgers, and selected general-ledger accounts.
- Maintain accurate transactions and supporting documentation in QuickBooks and Genius ERP, following established internal controls and approval procedures.
- Support month-end and year-end close through journal-entry support, account reconciliations, schedules, accruals and reporting.
- Assist with inventory, work-in-process and manufacturing-cost reconciliations, including investigation of unusual variances.
- Prepare routine financial and operational reports using Excel and ERP data; identify errors, trends and opportunities to improve data quality.
- Support HST and other statutory reporting, external accountant or auditor requests, and document retention requirements.
- Respond professionally to vendor, customer and employee inquiries while resolving discrepancies in a timely manner.
- Help improve accounting workflows, documentation and system use through practical process-improvement initiatives.
What You Bring
- Post-secondary diploma or degree in accounting, finance, business administration or a related field, or an equivalent combination of education and relevant experience.
- Three to five years of progressive accounting experience; experience in manufacturing, distribution or another inventory-based environment is strongly preferred.
- Working knowledge of accounts payable, accounts receivable, general-ledger reconciliations and month-end close.
- Experience with accounting and ERP systems. QuickBooks and Genius ERP experience is an asset.
- Strong Excel skills, including lookups, pivot tables, filters, formulas and reconciliation of larger data sets.
- High attention to detail, sound judgment and the ability to organize competing priorities and meet deadlines.
- Clear written and verbal communication skills and a collaborative approach when working across accounting, purchasing, production, receiving, sales and customer service.
- Integrity and discretion when handling confidential financial and employee information.
- A proactive, improvement-oriented mindset and the ability to investigate issues through to resolution.
